1. Scope and controller

This privacy policy explains how Generations B.V. processes personal data in Generations DataForge. DataForge is an internal tool used by Generations staff and selected invited users. Generations B.V. acts as the controller for the personal data processed in this tool, unless a separate written agreement states otherwise.

2. Information we collect

User accounts are created based on email addresses. DataForge may match account information with Rentman records and process related details such as name, email address, phone number, role, login activity, preferences, and internal support or administration records. We also process technical information, such as IP address, browser and device details, session data, security events, audit logs, and usage data needed to operate and protect the tool.

3. Rentman workspace data

The application connects to Generations' Rentman environment and may process internal operational data, including project, crew, vehicle, equipment, contact, financial, invoice, planning, file, note, and attachment information. This data is used for Generations' internal planning, operations, reporting, and administration.

4. How we use information

We use personal data to provide and secure the tool, authenticate users, synchronize and display Rentman workspace information, send authorized customer or partner information back to Rentman, support internal operations, troubleshoot issues, improve reliability, communicate service updates, enforce access rules, and meet legal obligations.

5. Standalone tools and API access

DataForge may support standalone tools or invited-user clients that access DataForge APIs. These tools may display Rentman-derived information or submit customer and partner data through DataForge to Rentman only for authorized Generations business purposes. Access should be limited to invited users, appropriate permissions, and the data needed for the requested functionality.

6. Legal basis

Where applicable law requires a legal basis, we rely on legitimate interests in operating and securing internal business systems, performance of employment or contractor-related arrangements where relevant, compliance with legal obligations, and consent where required.

7. Data sharing

We do not sell personal data. Access is limited to authorized internal users and service providers that help operate, secure, maintain, or support the tool. Current infrastructure and provider information is summarized on the Subprocessors page. Providers must apply appropriate confidentiality and security obligations where they process personal data.

8. Retention and security

We keep personal data only for as long as needed to provide the tool, meet legal obligations, resolve disputes, maintain security, and support legitimate business needs. We apply reasonable technical and organizational measures designed to protect data against unauthorized access, loss, misuse, alteration, and disclosure.

9. International transfers

If personal data is transferred across borders, we use appropriate safeguards required by applicable law, such as contractual protections or other approved transfer mechanisms.

10. Your rights

Depending on your location, you may have rights to access, correct, delete, restrict, or object to processing of personal data, request data portability, withdraw consent, or lodge a complaint with a supervisory authority. We may update this policy from time to time. Material changes will be posted in the application with a revised effective date.
